Buy it if you can

If your suppliers send consistent invoices, your ERP is one the major AP platforms already connect to, and your volume justifies the subscription, buy the product. It will be live sooner and cost less than anything custom. We will say that on the call, and we have said it to people who came to us wanting to build.

Where it stops being true is the long tail. Most AP teams we meet have a product doing well on the top forty suppliers and a person doing the rest by hand: the small vendor who sends a scanned PDF, the invoice where the line items have to be matched against a purchase order line by line, the one where the coding depends on something only your controller knows.

That remainder is usually where the hours actually are. It is also the part vendors quote least willingly, because their pricing assumes the standard case.

Buy, build, or both

Most of the companies we work with end up doing both: a product for the standard flow, custom AI for what it rejects.

Current document AI reads an invoice it has never seen before rather than matching a per-supplier template. That is what makes the long tail of small vendors worth automating at all, and it is the piece that changed most in the last two years.

Line-item matching

Checking each line against the purchase order or the contract, catching quantity and price differences, and flagging only what genuinely needs a person. This is where the real hours sit, and it is the part most demos skip.

Coding that reflects your chart of accounts

General ledger coding using your actual rules, including the ones that live in your controller's head rather than in a document. We write them down as part of the build, which has its own value when that person retires.

Connecting to the ERP you actually run

Including systems the mainstream vendors do not support. If your finance team is exporting to a spreadsheet to bridge two systems, that bridge is usually automatable.

Accuracy on your invoices, before anything else

A build that begins with a signed annual contract and ends with a discovery about accuracy is the wrong order.

Send us a real sample

A batch of your genuine invoices, including the ugly ones. Not the clean examples. We test reading accuracy against those before we scope anything, because that number decides whether the project is worth doing.

Count where the time goes

We sit with your AP staff and find out which step actually eats the day. It is rarely the one leadership assumes, and it is often the matching rather than the keying.

Build the narrow thing

One workflow, in your systems, in weeks. Your team uses it while it is still cheap to change. Then we widen it, or we stop, depending on what the first one proves.

They came to us with a workforce problem rather than an AP one: long-tenured staff approaching retirement, with decades of operational knowledge held in people's heads and nothing written down.

The assessment surfaced four projects worth doing, and two of them were in finance: AP invoice OCR and an automated invoice generation workflow, alongside a smart accounting workflow and print operations intelligence. All four are underway. The accounting work was not the most exciting thing on the list. It was the one where the hours were already counted, which made it the easiest to prove.

What share of our invoices would actually get automated?

That depends entirely on your supplier mix, and nobody can honestly answer it from a website. It is why we test on a real sample of your invoices before scoping. The number that matters is not a vendor's headline accuracy, it is how many of your invoices still need a person afterwards.

We already have an AP automation product. Is this a rip-and-replace?

Usually not, and we would not recommend it. The common shape is keeping the product for the flow it handles well and building for the exceptions it hands back. Replacing a working system is an expensive way to solve a problem that sits at its edges.

How does the cost compare to a subscription?

A custom build is a larger cost up front and no per-invoice fee afterwards, so the comparison is really about volume and time horizon. At low volume a subscription usually wins. At high volume, over three years, it often does not. We are happy to run that arithmetic with your real numbers, including the case where the answer is to keep buying.

Do we own it?

Yes. You own the code, it runs in your accounts, and there is no per-seat license on custom work.

What about approval routing and payment?

Routing is usually straightforward to include. Payment execution is a different matter, and for most clients the right answer is to keep payments in the system that already handles them rather than build something new that touches money.

We are not sure AP is even our best first project.
